What personal data do we collect?
We collect personal data directly from you when you use our forms or contact us, and automatically when you visit the website.
Information you give us
When you use our contact form or sample request form, we collect the details you enter, which may include:
- your name and company name
- your email address and telephone number
- your delivery address and postcode (sample requests only)
- the topic of your enquiry or the product you are interested in
- your message and any other information you choose to include
- a record that you agreed to us contacting you about your enquiry
If you email or telephone us, we will also hold the information you provide in that correspondence.
Information collected automatically
When you visit the website, our servers and monitoring tools record technical data such as your IP address, browser and device type, the pages you request, the date and time of each request and the page that referred you. This information is held in server logs and in our application monitoring service.
We do not use analytics or advertising cookies. See our Cookie Policy for the small number of cookies the website needs to work.
How and why do we use your personal data?
Under UK data protection law we must have a lawful basis for each way we use personal data. The table below explains what we do and why.
| Purpose | Data used | Lawful basis |
|---|---|---|
| Responding to your enquiry and providing technical advice | Contact details, company, enquiry topic and message | Legitimate interests: responding to people who contact us and supporting our customers |
| Sending product samples and preparing quotations you request | Contact details, company, delivery address, postcode, product and message | Taking steps at your request before entering into a contract |
| Operating, securing and improving the website, including detecting errors and preventing misuse | Technical data such as IP address, browser and pages requested | Legitimate interests: keeping the website secure, reliable and working properly |
| Keeping records and meeting our legal and regulatory obligations | Any of the above, where relevant | Compliance with a legal obligation, or legitimate interests in establishing, exercising or defending legal claims |
Where we rely on legitimate interests, we have considered your interests and rights and concluded that the use is reasonable and expected. We will not add you to a marketing mailing list without your consent, and we do not sell your personal data. We do not use your data for automated decision making or profiling.
Who do we share your personal data with?
We use trusted service providers who process personal data on our behalf, under written contracts that require them to keep it secure and use it only on our instructions:
- Laravel Cloud hosts the website and its database, including the enquiries submitted through our forms.
- Resend delivers the emails generated by the website, including notifications to our team that contain the details you submit through our forms. These emails are then held in our business email system.
- Laravel Nightwatch provides application performance and error monitoring, which may include technical data about requests to the website.
We may also share your details with delivery carriers when we send you samples or products, with our professional advisers where necessary, and with law enforcement or other authorities where we are required to do so by law.
Is your data transferred outside the UK?
Some of our service providers are based in, or use infrastructure located in, countries outside the UK, including the United States and the European Economic Area. Where your personal data is transferred outside the UK, we make sure it is protected by appropriate safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can contact us for more information about these safeguards.
How long do we keep your personal data?
We keep personal data only for as long as we need it for the purposes described in this policy. Enquiry and sample request records are deleted when they are no longer needed to deal with your enquiry or any business relationship that follows from it. Where an enquiry leads to an order or an ongoing business relationship, we keep the relevant records for as long as required for accounting, tax and legal purposes. Server and monitoring logs are kept for a limited period and then deleted automatically.
How do we protect your personal data?
The website is served over an encrypted HTTPS connection, access to enquiry records is restricted to people who need it, and our service providers are required to apply appropriate technical and organisational security measures. No method of transmission over the internet is completely secure, but we take reasonable steps to protect the information you give us.
What are your rights?
Under UK data protection law you have the right to:
- access the personal data we hold about you and receive a copy
- rectification of personal data that is inaccurate or incomplete
- erasure of your personal data in certain circumstances
- restriction of how we use your personal data in certain circumstances
- object to our use of your personal data where we rely on legitimate interests
- data portability, meaning you can receive data you gave us in a structured, commonly used format, or ask us to send it to another organisation, where the law allows
To exercise any of these rights, email us at sales@ukconstructionproducts.co.uk or write to us at the address above. We may need to confirm your identity before responding. You will not usually need to pay a fee, and we will respond within one month, or tell you within that time if we need longer because your request is complex.
How can you complain?
If you are unhappy with how we have used your personal data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk or by calling 0303 123 1113.
